Onboarding and vaccine ordering
How to onboard your clinic to order and administer COVID-19 vaccines.
Before deciding to onboard your clinic consider the following:
- You will need to know who in your practice will be administering the vaccine and how.
- Assess if a medical directive is required.
- Ensure you are cold chain ready and have a contingency plan.
- Decide how you will manage vaccinations if the facility is going through an outbreak.
- You will need a plan for how to distribute consent forms for residents with substitute decision makers.
How to onboard with Peel Public Health
Peel Public Health has launched a new Peel Health Professionals Portal for all primary care clinics that wish to administer COVID-19 vaccines. This new portal includes both the onboarding process to register with Peel Public Health as a COVID-19 site, as well as the online order process for COVID-19 vaccines.
Complete the steps to enroll in Peel Public Health's COVID-19 vaccine program:
Step 1: Complete the onboarding form
Physician-led practices must complete the onboarding form to enroll in the COVID-19 vaccine program.
Step 2: Onboarding confirmation email
Once the onboarding form is received, await and review confirmation of the onboarding email titled "Action required: COVID-19 vaccination onboarding. Case number XXXXXXX. [ref:!XXXXXXXXXXXX:ref]."
Step 3: Review and sign Memorandum of Understanding
All physicians who will administer vaccinations or provide medical directives to trained staff agree to review and sign a Memorandum of Understanding agreement ("MOU") with Peel Public Health.
This agreement must be completed for physician-led clinics who will administer COVID-19 vaccinations in the Peel Region using the Provincial COVID-19 Vaccine Solution-COVaxON for the use, storage and recording of vaccine.
Step 4: Complete OntarioMD COVaxON training and access spreadsheet
Complete the COVax access spreadsheet for all staff and physicians who require access to COVaxON and reply to the email sent to you with the completed spreadsheet to COVID-19 primary care.
All staff who will be using COVax must complete COVaxON OntarioMD training for primary care practices.
Step 5: Submit COVID-19 vaccine order
Using your Peel Health Professionals Portal account, submit your vaccine order and add staff members as needed.
Ordering vaccines
Step 1 to 4 of the onboarding process must be completed before physician-led clinics can submit a COVID-19 order. Once these steps are completed you can place your order via the Peel Health Professional Portal.
The processing time for COVID-19 vaccine take 3 to 5 business days from the date the order was received. Physician lead clinics will be able to see the vaccine delivery schedule by checking in the Peel Health Professionals Portal when ordering.
Delivery schedule during the holiday season will be shared via Health Professionals updates or by email.
How to submit an order
- Once your Peel Health Professionals Portal account is set up you will select "Order COVID-19 vaccine".
- Temperature logs must be submitted with each online vaccine order through fax or email confirming that your temperatures are within range.
- Enter clinic's current COVID-19 inventory.
- Only order a 2-week supply.
- Vaccine ancillary supplies are not provided.
Picking up the vaccines
Clinics have the option to pick up COVID-19 vaccines at no charge at 7120 Hurontario St. Mississauga, 9 a.m. to 4:30 p.m., Monday to Friday.
